They have worked with hundreds of clinics and 10's of thousands of individuals to build one of the leading brain technologies in the market.
We are looking for a self-driven, high-energy Office and Ops. Administrator to join their team.
In this role, you will hold the full scope of administration and operations responsibilities and will be a point of contact for employees, vendors, investors, and customers, and as such, should possess excellent interpersonal skills, a can-do approach, and a sense of urgency where required.
RESPONSIBILITIES
Operations and inventory:
Monitoring inventory levels and raising replenishment requests per need.
Handling inventory replenishments and tracking them until received at the company’s warehouse
Data entry of hardware orders and weekly inventory status reports.
Shipments’ reconciliation (damaged, lost, etc.)
Work closely with the teams, including the care team, marketing, and R&D.
Accounting and administration:
Monitoring and tracking all incoming & outgoing payments and being on top of all company’s financial reports submissions and tax returns.
Data entry of subscription transactions, monitoring all company expenses, and ensuring they are reported properly (internal and external).
Process and manage company onboarding, payroll, transactions, and billing.
Work closely with payroll accounting teams, CPAs, insurance agencies, financial advisors, and auditors in IL and US.
Support finance operations, including the processing of invoices, credit card transactions, payments, expense reports, etc.
Office management and employee wellbeing:
Take ownership of the office “Look and Feel”, set as the main point of contact for all errands related to the office, and ensure the office provides a pleasant working environment.
Take an active part with the HR dept. in the planning and executing company’s well-being activities (in-house and off-site).
REQUIREMENTS
Native-level English and Hebrew - MUST! (will be checked thoroughly)
Up to 2 years experience as office manager, admin, operations, or a similar role - MUST
Proficient with Microsoft Office, Gmail, Excel, and Google sheets.
Outstanding interpersonal and communication skills, pro-active, patient, and service-oriented with a can-do approach.
The ability to work with employees of all levels, including higher management, exercise judgment, and work independently.
Must be driven, a fast learner, hard-working, highly-organized, attentive to detail, reliable, and a team player.
Experience working in a start-up environment is a huge advantage!
